Frequently Asked Questions about Virtual Offices
Q1: What is a virtual office?
A virtual office is an office without a physical presence. It provides businesses with a virtual registered business address and support services, including mail handling, phone answering and meeting rooms. This supports companies that do not need to rent a physical office, while enhancing their corporate image. The most suitable virtual office depends on the services you require.
Q2: Why is a virtual office needed?
(1) Complies with legal requirements:
To establish a limited or unlimited company, a registered office address must be provided; otherwise the company cannot be incorporated. Virtual offices provide registered addresses that comply with the Companies Ordinance, facilitating smooth company registration.
(2) Avoid the potential risks of using a residential address:
Unlimited companies may theoretically use a residential address, but the address must comply with relevant regulations. For example, the Public Housing Ordinance clearly stipulates that public housing cannot be used for commercial purposes; otherwise it may be illegal. Using a residential address as the company’s registered address will display that address on the Business Registration Certificate. If this address has to be provided to clients or partners, it may affect the company’s professional image and even business opportunities.
(3) Enhance professional image at low cost:
Obtain a prime commercial-district address (such as Wan Chai or Causeway Bay) at a lower cost to increase credibility and professionalism. The address can be displayed on the company website, business cards, invoices and more, enhancing customer trust.
What are the functions and requirements of a Hong Kong company’s registered address?
A limited company incorporated in Hong Kong must have its registered address in Hong Kong. The registered office address is the legal address designated by law for receiving notices and legal documents, and it may be different from the business address.
Q3: Is using a virtual office legal?
Using a virtual office as a registered office address is legal. Under the Anti-Money Laundering Ordinance, providers must hold a Trust or Company Service Provider licence and complete due diligence on their clients before they may operate and provide virtual office and registered address services in Hong Kong; otherwise it is illegal. Clients can therefore rest assured that our virtual office and registered address services comply with legal requirements.

Compliance Statement and Renewal Notes
- Under the 2018 amendments to the Companies Ordinance, company service providers must hold a Trust or Company Service Provider licence and conduct client due diligence in accordance with the Anti-Money Laundering and Counter-Terrorist Financing Ordinance.
- If a client refuses to provide documents for due diligence, the service will be cancelled and a HK$500 administrative fee will be charged.
- If the service is not renewed, fees are unpaid, or the client becomes unreachable, we will change the company's registered address to the correspondence address of a major shareholder/director and charge a HK$1,300 address-change service fee (subject to adjustment), so that the company can continue to receive important correspondence.
